How to make an invoice in 4 steps
- Add your business and your client. Enter your business name, contact details, and who you are billing. Add your logo to make it look like yours.
- List what you did. Add each service or product with a clear description, a quantity, and a price. The totals and tax add up automatically.
- Choose your terms. Pick Due Upon Receipt, Due 7, Due 14, or Due 30. Add a deposit if you need one, and a note for payment instructions.
- Print or save as PDF. Check the live preview, then send the PDF to your client by email or text.
What to include on an invoice
A good invoice is clear, complete, and easy to pay. Make sure it has these:
- Your business name and contact details. Name, address, phone, and email, so the client knows who to pay and who to call with questions.
- Your client's name and address. This is who the invoice is for.
- A unique invoice number. Numbers like INV-0001, INV-0002 help you and your client keep track and avoid duplicates.
- The issue date and due date. The due date tells the client when payment is expected.
- A clear list of items. Describe each service or product, the quantity, and the price.
- Tax and the total. Show the subtotal, any sales tax, and the total amount due.
- Payment instructions. Say how you want to be paid and add a thank-you note.
Invoice payment terms explained
Payment terms say when the client should pay. The most common ones:
- Due Upon Receipt. Payment is due as soon as the client gets the invoice. This is common for small jobs and for new clients.
- Due 7. Payment is due 7 days after the invoice date, often called Net 7.
- Due 14. Payment is due 14 days after the invoice date, often called Net 14.
- Due 30. Payment is due 30 days after the invoice date. This is the most common business term and is often called Net 30.
Shorter terms get you paid faster. Longer terms are friendlier to larger clients who pay on a schedule.
Invoice, estimate, or quote: what is the difference?
An estimate (or quote) is the price you offer before any work starts. The client can accept or decline it. Once they say yes, you do the job, and then you send an invoice to ask for payment. A receipt is proof that the invoice was paid. Invoiste turns an accepted estimate into a job and then into an invoice, without retyping anything.
Asking for a deposit
A deposit protects you from clients who cancel and helps you cover materials before the work begins. Many tradespeople ask for 30% to 50% up front. In this generator you can request a flat amount or a percentage, up to 70% of the total, and the invoice shows the deposit and the balance remaining.

Click "Print or save as PDF." In the print window, choose "Save as PDF" as the destination, then save the file. You can email that PDF to your client.
What should an invoice include?
Your business name and contact details, your client's name, a unique invoice number, the issue date, the due date or payment terms, a clear list of what you charged for with quantities and prices, any tax, the total, and how you want to be paid.
What does "Due Upon Receipt" mean?
It means the client should pay as soon as they get the invoice. If you want to give more time, choose Due 7, Due 14, or Due 30. Due 30 is also known as Net 30: payment is due 30 days after the invoice date.
Can I ask for a deposit?
Yes. Turn on "Request a deposit" and enter a flat amount or a percentage. The invoice shows the deposit and the balance remaining. Percentage deposits are limited to 70% of the total.
What is the difference between an invoice and an estimate?
An estimate or quote is a price you offer before the work starts, and the client can say yes or no. An invoice is a bill you send for work you have done or are about to do, and it asks for payment.
Can I add my logo and signature?
Yes. Add a PNG or JPG logo and draw your signature with your mouse or finger. Both appear on the invoice.
